When Tasks are Too Big


Do your teams struggle to complete projects? The tasks are too large!

🙃 You can recognize this problem when at project meetings, the refrain is “I’m about 80% done with my task.” And then you hear the same thing the next week … and the next …

The problem is that the “chunks” of work are too big, amorphous, and vague.

Examples of tasks that are too big:

❌ Do market research
❌ Write content for the new website
❌ Create the training presentation

📏 What’s a good size for a task? A good rule of thumb is that the task requires about one day of work by the team.

This makes it easy to see progress … and to see exactly where the task got hung up if the team did not complete the work. 👀

Examples of right-sized tasks:

✅ Make a list of our competitors with their strengths and weaknesses
✅ Write first draft of content for the “About Us” page of the new website
✅ Develop the draft outline for the training presentation

When team members have clear, manageable tasks, they are more likely to finish them. And the frequent completions provide a sense of accomplishment and motivation, making it rewarding to move on to the next chunk of work.
